Cutting Tool Complaint Checklist: Evidence Buyers Should Collect for Saw Blades and Drill Bits

A photograph of a broken tooth or drill tip establishes that damage exists, but rarely establishes why it happened. A useful complaint connects the tool, the material, the machine and the point at which performance changed. Collecting that evidence early helps the buyer and supplier agree on the next investigation instead of exchanging guesses. This checklist supports technical review; it does not determine warranty responsibility.

Contain the issue and preserve the tool

Stop using a damaged tool and isolate the machine as required by its operating procedure. Identify affected stock and keep broken pieces only where they can be recovered safely. Do not repeat a dangerous event for a video. Preserve the tool’s condition before cleaning, sharpening or repair, because those actions can remove evidence needed for examination.

Start with identification and chronology

Record the order, supplier, tool specification, lot and individual markings. State whether the tool was new, previously used or reconditioned. Describe when the symptom began: at the first cut, after a normal production interval, immediately after a tool change or following a material or setting change. Record total output and accepted output where available.

Photograph the pattern, not only the worst point

For a saw blade, photograph both faces, the full circumference and representative damaged and undamaged teeth. Identify whether damage is isolated, adjacent or distributed. For a drill, include the full tool, point, flutes and shank as well as the failed area. Label the entry and exit sides of the workpiece and retain a representative defective part when practical.

Good lighting and focus are more useful than extreme digital zoom. Include a scale where safe and appropriate, but do not infer precise dimensions from a perspective photograph. If a measurement matters, record it using a suitable instrument and a stated method.

Separate facts from hypotheses

Write ‘three adjacent teeth chipped after the clamp was changed’ as an observation. Write ‘clamping may have contributed’ as a hypothesis requiring investigation. Avoid presenting material quality, coating quality or operator error as established causes before the evidence supports them. Several causes can produce similar surface damage.

Agree on a controlled follow-up

Buyer and supplier should decide which checks can be performed safely on site and which require tool-service or laboratory examination. If a comparison trial is appropriate, document compatibility, operating conditions and the stop criteria first. A successful repeat trial can narrow the problem, but it does not automatically explain the original failure. Keep both records.

Close the complaint with a traceable decision

Record the findings, unresolved questions, corrective action, affected stock and who approved release or replacement. If the specification changes, issue a revision rather than relying on an informal message. Link the outcome to the original lot so repeat orders can be checked against the corrective action.
